You’re Business Isn’t Broken - It Just Needs a Systems Diagnosis

Why outsourcing a task won’t fix the deeper issue (and how to know what kind of support you actually need)
“I just need help with this one thing…”
Inbox out of control? Socials not consistent? Admin work eating up your day?
Most of the women who come to me are juggling a lot and just need one thing off their list. Something that feels annoying, time-consuming, or just not in their zone of genius.
They’re at a point of realisation:
👉 “I can’t keep doing this all by myself.”
👉 “I don’t have a big budget, but I can spend a little if it frees up my time or my brain.”
Totally fair. And totally understandable.
But here’s what often happens next: They outsource the one thing, and it doesn’t solve the problem.
Because the “one thing” isn’t the thing. It’s a symptom of a bigger systems issue.
What you see vs. what’s really going on
You think you need someone to sort your inbox. But unless that person understands your business structure, tone of voice, response expectations, workflows, and communication style… they’ll create a system you won’t use.
Or worse — they’ll want or wait for you to explain everything in detail… which defeats the whole purpose of getting help.
You think a VA can just ‘post’ your socials for you. But strategy, consistency, and content planning take a deep understanding of your brand, audience, and message. And without that, even with AI, creating content that sounds like you, speaks to your ideal client, and drives connection takes time, skill, and context.
Outsourcing can work — but not if you skip the big picture.
Why you can’t outsource clarity
The truth is, everything in your business is connected.

🔹 A VA: Brilliant for task-based support. Often reactive. Best with clear direction and systems already in place.
🔹 An OBM (like me): The bridge between ideas and execution. Strategic, operational, and deeply collaborative.

Here’s the best analogy I can give you:
All businesses might be similar on the outside — offers, clients, systems, just like all cars have four wheels and an engine.
But some businesses (like yours) are more like a Mercedes-Benz. Beautifully built, with unique features and a high-performance engine.
You can’t just jam in a cheap part and expect it to run like a dream.
It needs specialist care. Someone who understands how it’s built.
Someone who knows how to diagnose a hidden issue, not just respond to a warning light.
Generic tools and one-off tasks might get you by. But tailored support?
That’s how you get back to peak performance.
Real-world examples
Inbox management: One client wanted someone to “just sort the folders.” But the real fix involved clarifying her client segments, defining response protocols, and building out a comms hub. We built it in stages so she could actually use it — and tweak it as her needs evolved.

Outsourcing has its place. So does specialised expertise. (And I often collaborate with other pros when your business needs them!)
